There’s no sense sugarcoating it: Selecting and implementing new accounting software can be difficult and time-consuming. That’s especially true for nonprofits that need to make the move with minimal disruption and maximum transparency.
Fortunately, you can go live without going out of your mind. Follow these five steps to choose and implement new software that will support your organization for years to come.
Step #1: Make sure you’re making the right move
There are a lot of accounting software solutions out there, and not all of them have the features nonprofits need.
Ask whether the software you’re considering is used by other nonprofits. Also request details about the features that address these common nonprofit challenges:
- Compliance: Does the software offer automated reporting to help you quickly produce compliance reports?
- Access: Can you securely access real-time financial information from anywhere?
- Visibility: Is data provided in a simple-to-understand format any stakeholder can understand?
Step #2: Ask about integration
You’ll probably want to integrate the new software with your existing accounting systems—including payroll, billing, payments, and more. Is the software easy to integrate with other best-in-class accounting systems? Be wary if they don’t have a list available or it doesn’t include a wide array of providers.
Step #3: Consider technical details
Make sure the software is:
- Open source, so you won’t be locked into a single vendor
- Cloud-based, for maximum flexibility and cost savings
- Proven, with a track record of at least a decade
- Easy to implement
Step #4: Prepare yourself
Once you’ve chosen the right accounting software, it’s time to get ready for the implementation. Appoint a point person who will oversee the implementation and handle issues as they arise. Also prepare staff to configure the new system and provide systems training across the organization.
Step #5: Take advantage of the experts
If all this sounds a bit overwhelming, don’t worry: You’re not alone. Many organizations put off implementing much-needed software simply because the task seems too difficult and complex.
